    Evaluation of Academic Advisors Overview

    The Institutional Effectiveness and Research Administration oversees the faculty and department head assessment of deans, department heads, and associate/assistant department heads evaluation (survey tool) of the annual faculty evaluation process. The intent of this evaluation is to give faculty and department heads the opportunity to give feedback on the performance of the deans, department heads, and associate/assistant department heads. 

    In 2019, an evaluation committee was formed to design a more effective evaluation of tool and to make recommendations for improving the data collection process. This committee was formed based on a Faculty Senate resolution, and it included representatives from all colleges and the Faculty Senate. This overview was developed in response to one of the committee’s recommendations to provide additional information about the evaluation process itself, and the revised evaluation instrument will utilized in to collect data in calendar year 2022.

    As with most online processes, some user information may be collected; however, we have set the survey security options to minimize the amount of user data being collected as part of the evaluation process. We do not collect IP addresses or any other identifying information. The deans, department heads, and other administrators do not have access to this Qualtrics survey, and they will only receive pdf copies of the reports that are generated. We work very hard to protect the identities of those who complete the evaluations, so we encourage you to avoid making any comments that might reveal your identity.

    Timeline for Administration

    • Early January
      • Faculty are alerted by their deans that they will be receiving academic administrator evaluations via their UNG email accounts.
    • Mid-January
      • Evaluations are sent out to faculty and department heads via their UNG email accounts using the Qualtrics survey platform.
    • February
      • At the end of the evaluation period, reports of evaluation feedback (both quantitative and qualitative) are created using the Qualtrics survey platform.
    • February
      • Reports of evaluations are then placed in SharePoint. Only those with appropriate permissions, including the provost, deans, and department heads will have access to the reports.

    Questions and Answers

    • Are the evaluations/reports confidential?

      The evaluations are anonymous. The evaluation responses are collected using an anonymous link generated by the Qualtrics survey software, so it is not necessary to log in or otherwise authenticate your identity to participate in the evaluation process.  In addition, the “Anonymize Responses” setting is enabled on these evaluations, which permanently scrubs the response of any identifying information (such as IP address or location information) before saving it in the data. 

    • Who sees the evaluation reports?

      IE staff generate the evaluation reports and place the reports in a SharePoint folder for the Provost to review. After reviewing the reports, the Provost notifies the deans and/or department heads that the information is available for their use, and they can access the evaluations via the SharePoint folders. 

      Deans are given access to the faculty evaluations of department heads, coordinators and associate/assistant deans as well as the department head evaluation of associate/assistant deans for their college/program.

      Department Heads are given access to the faculty evaluations of associate/assistant department heads for their college/program.

      Academic administrators also have the opportunity to view their own evaluation results.

      No academic administrator has access to the Qualtrics survey itself or the raw data that is included. Reports are provided in a pdf format. 

    • How can I protect my identity when completing the evaluations?

      Only Office of Institutional Effectiveness and Research Administration staff have access to the raw data in Qualtrics. No identifying information is collected or disseminated as part of the evaluation process. As you complete the evaluation forms, you can further protect your identity by making sure that your comments are free of any information that may identify you as an individual.

    • How are the evaluations used?

      Evaluation reports are distributed to supervisors for use during the annual evaluation process for academic administrators. As such, your feedback can be used to recognize strengths, acknowledge successes, and identify areas in need of further development. Your constructive feedback can help inform the discussions which take place between academic administrators and their supervisors.
