Key Items for Offboarding

  1. Resignation Letter: Provide your supervisor with a resignation letter and send a copy to Human Resources (HR).
  2. Departure Clearance Form: Obtain and complete the Employee Departure Clearance Form (PDF) (will require signatures from various offices as you return your ID, keys, parking permit, P-card, etc.).
    • Departing Employee: Please complete the top portion of the form and enter your signature down at the bottom. You should then forward this form to your supervisor for signature. 
    • Supervisor: Once both the employee and supervisor’s signatures have been obtained, the supervisor should e-mail the form to monica.arrendale@ung.edu
      • Monica will then send it out for the rest of the signatures. 
  3. Exit Interview: Schedule an exit interview with HR.
  4. Retirement Accounts: Follow up with Human Resources concerning your retirement accounts.
  5. Vacation Payout: Contact payroll concerning your vacation payout.
  6. Sick Leave: There is no payout for sick leave earned but not taken. However, employees retiring with the Teachers Retirement System (TRS) may use 60 or more days of accumulated sick leave to earn additional service time.
  7. Flexible Spending Account/Health Savings Account: Contact Human Resources to find out what happens to your flexible spending accounts and/or Health Savings Account when you leave.

Separating and Your Benefits

Review key offboarding steps and information about benefits. Some health plans stop immediately, while others have the option to continue on an individual basis, requiring action by the individual. 

Unemployment Compensation

Unemployment insurance is temporary income for workers who are unemployed through no fault of their own. The funding for unemployment insurance benefits comes from taxes paid by employers. Employees do not pay any costs.

Eligibility for benefits is determined by the state based on past wages, reason for job separation, availability, and job search requirements.

Claims for unemployment insurance may be filed at any Georgia Department of Labor career center. When filing a claim, you should bring:

  • Your social security number; a claim cannot be filed without a social security number
  • Employer-issued separation letter or notice, if one was provided
  • Names and addresses of all employers for the last eighteen months, and the dates worked for each
  • Proof of immigration status if not a U.S. citizen
  • Personal check with account number and bank routing number if you want benefits deposited directly into a checking or savings account
  • Claims are effective on the date they are filed and are not retroactive to the last day worked
