Equipment Rental Policies

NOTE: Equipment is available to currently enrolled fee-paying students and full-time, benefited faculty and staff members only. Group equipment is available to registered student organizations, currently enrolled fee-paying students, and full-time, benefited faculty and staff members only.

COVID Policies/Procedures for Equipment Rental

Note: Due to COVID, the rental process for this fall semester has been modified to account for extra safety and health concerns. The Outdoor Pursuits staff has worked diligently to continue providing you with a positive rental experience. To view the changes made, please review the additional policies and procedures.

COVID Cleaning

Upon return, the Outdoor Pursuits staff will clean the gear as best as possible following the steps below:

  1. Let gear sit in the sun for 24-hours (if possible)
  2. Let gear air out in the gym for a total of 72-hours 
  3. In addition, any gear that can be washed (sleeping bags, hammocks) will be washed and other gear will get thoroughly wiped down with a proper cleaning agent.
  4. We will not rent out gear again until it has gone through this full cleaning cycle.

Pick-Up and Return Options

  • This fall we are allowing for curbside pick-ups and returns
    • There will be one designated parking spot on the top deck of the rec center.
    • Call Outdoor Pursuits at 706-867-2549 upon arrival and we will accommodate you promptly.
  • In addition to curbside we are still allowing for renters to come pick-up or return inside the rec; however, we are not providing walk-in rentals this fall.

Additional Notes

  • All fees will be paid virtually this year.
  • We will not be renting out any sleeping mats this fall due to safety and health concerns.

Rental Hours

Pick-Ups

  • Thursday 10:00 a.m. - 12:00 p.m. and 2:00 p.m. - 4:00 p.m.
  • Friday 10:00 a.m. - 2:00 p.m.

Returns

  • Monday 10:00 a.m. - 12:00 p.m. and 2:00 p.m. - 4:00 p.m.
  • Tuesday 11:00 a.m. - 2:00 p.m.
Pick-ups and returns will occur either by a curbside appointment or in-person at the Outdoor Pursuits office located near court 1 in the recreation center.

Individual Reservations

  • The North Georgia Outdoor Pursuits Program will take reservations for equipment via the Rental Request Form, but cannot guarantee the equipment will be available if another renter does not return the equipment or if all equipment is rented out before your reservation has been entered. Every effort will be made to fill the reservation.
  • The Rental Request Form must be completed by 5:00 p.m. two days prior to the date in which the renter wishes to rent the gear.

Submit your request and we will do our best to accommodate. If we are unable to fulfill your requests for any reason, we apologize in advance. We will do our best!

Group Reservations

  • The North Georgia Outdoor Pursuits Program specifies a group as 6 or more individuals wishing to rent equipment. A representative from the group will be considered the “group renter” and will be responsible for all aspects of the rental process.
  • The Group Equipment Rental Request Form must be completed by 5:00 p.m. three days prior to the date in which the group wishes to rent the gear.
*Please note: It is as the discretion of the Outdoor Pursuits' staff whether to enforce this or not. This will depend on how busy we are due to our extensive COVID cleaning procedures. Submit your request and we will do our best to accommodate. If we are unable to fulfill your requests for any reason, we apologize in advance. We will do our best!

Checkout

  • No person may check out more than $675 worth of equipment.
  • No group renter may check out more than $3,375 worth of equipment.
  • It is the responsibility of the renter to inspect any equipment for damages upon checkout. If the renter decides not to inspect equipment prior to checkout, or if the North Georgia Outdoor Pursuits Staff is not informed of the damages before the equipment leaves the premises, it will be assumed that the renter caused any damages found upon return.

Return

  • All equipment will need to be returned in the same state as it was rented.
  • Renters must come within the return time scheduled or be subject to getting a “late return fee”, unless communicated beforehand of any changes
  • Due to COVID, we are giving renters the option to be present for inspection.
    • If the renter chooses to be present for inspection, we will inspect on the spot.
    • If not, we will inspect the gear later and email the renter regarding their return and if any fees were charged or not.
    • A verbal signature for returns will be requested as well.
    • If a renter gets a fee and does not agree, whether they were there for inspection or not, they can dispute the fee as necessary.
  • Any piece of equipment that is returned wet and/or requiring extra cleaning (beyond basic sweeping) will be charged a maximum fee of $15. This fee will be charged in $5 increments.
  • Each day the equipment is late, a fee of $15 will be imposed, weekends/holidays not included, until the equipment is returned or until the retail cost of the equipment is reached.
  • Any equipment requiring the cost of replacement must be returned to the North Georgia Outdoor Pursuits Staff. The damaged equipment must be returned on the predetermined return date. If it is not returned, all policies still apply. In any case, renters will not be allowed to keep the damaged equipment.
  • All fees are due by 5:00 p.m. one week from the issued date. A hold will be placed on the renter’s Banner account if the fee is not paid. If the renter is a faculty or staff member, renting privileges will be revoked until the fee is paid.
  • All fees and their respective due dates are subject to change at the discretion of the North Georgia Outdoor Pursuits Staff.

Renter

  • The renter assumes full responsibility for the equipment checked out and all its components and, upon request, agrees to pay for any incurred damages.
  • The renter is responsible for all lost or stolen equipment. The renter also assumes total liability for all damages incurred through the use or misuse of the equipment and/or accessories.
  • The North Georgia Outdoor Pursuits Program reserves the right to limit or revoke equipment rental privileges due to the abuse of the Equipment Rental Policies, unpaid fines, damaged equipment, unused reservations, etc.
  • The renter will not hold the staff of the North Georgia Outdoor Pursuits Program, Recreational Sports Department, or University of North Georgia responsible for any injury, sickness or accident incurred while using the equipment.
