    Eligibility to Work: Form I-9 and E-Verify

    University of North Georgia (UNG) complies with federal and state laws and regulations concerning verification of identity, employment eligibility and associated recordkeeping for employees hired to work in the United States. All new hires and rehires (both citizen and noncitizen) are required to complete Form I-9.

    Form I-9

    This form allows employers to verify the identity and employment authorization of each employee. The university is subject to periodic audits by the federal government and is subject to large fines for non-compliance. Completion of Form I-9 is a shared responsibility of both the employee and the university.

    E-Verify

    University of North Georgia is an E-Verify employer. E-Verify is an Internet-based system that compares information entered by an employer from an employee’s Form I-9, to records available from the U.S. Department of Homeland Security and the Social Security Administration to confirm employment eligibility.

    UNG uses an online system, Equifax Workforce Solutions, to collect and process the required documentation from new hires to comply with these laws. There are four UNG campuses where an I-9 can be processed. There are also options for remote and out of state employees to complete the form with an authorized representative.

    Supervisor Information

    After a new hire/rehire accepts the job offer and completes onboarding through Equifax, they will be provided with final instructions on completing Form I-9. Those instructions include a list of acceptable documents the employee must bring to an HR Office/Campus Representative or a remote authorized representative. No photocopies or expired documents are allowed. Must be original, unexpired documents.

    Ensure that the employee completes Section 2 of the Form I-9 with a UNG representative or remote authorized representative no later than the third business day after his or her start date.

    New Hire & Rehire Requirements

    The following must be completed by new hires and rehires, regardless of length of separation

    • Section 1 of the Form I-9 must be completed after an offer of employment is accepted, but no later than the first day of employment.
    • Section 2 must be completed no later than the third business day after your start date and must be completed in person at one of the university’s four campuses or remotely with an authorized representative.
      • Section 2 requires an employee to present documentation to confirm identification and employment eligibility. No photocopies or expired documents are allowed. Must be original, unexpired documents.
        • Form I-9 List of Acceptable Documents
        • E-Verify is integrated with the I-9 process and will be completed at the same time section 2 is completed.

    Remote Hires

    When hiring an individual who will be working outside the state of Georgia or an individual who will not be able to complete Form I-9 at a UNG campus within three business days after start date, contact Human Resources at HR@ung.edu to setup arrangements to complete with a remote authorized representative.
